Considerations for planning the Debian Groupware Meeting (DGM)
The "mother" of all groupware meetings is the DGM typically held in spring in the Linuxhotel Essen. The followings steps are needed to being able for having a DGM.
Get in contact with the Linuxhotel by email (info@linuxhotel.de) early to get possible timeslots.
- Decide the date the DGM will be held by asking possible participants.
Once the date is found create a wiki page named GroupwareMeeting20??-0?-??to??, you can find existing pages about previous DGM's on the sub-point Meetings on the main page.
Ask for possible Sponsorship.
Make an announcement for the meeting. The following mailing list or packages are potential recipients: pkg-evolution-maintainers@lists.alioth.debian.org, calendarserver-discuss@lists.alioth.debian.org, pkg-citadel-devel@lists.alioth.debian.org, pkg-roundcube-maintainers@lists.alioth.debian.org, pkg-giraffe-maintainers@lists.alioth.debian.org, calypso@packages.debian.org, radicale@packages.debian.org, sogo@packages.debian.org, owncloud@packages.debian.org, thunderbird@packages.debian.org
- Please note there may be more (new) groupware servers/clients since writing!
- Coordinate requests of participants or users etc.
- About two week before the meeting write again an announcement so interested people don't miss the meeting.
- Send the final list of people to the Linuxhotel, you will have get a LO ODS file for that.
- On the day the meeting will start try to arrive early in Essen so you can help potential new participants but also the people from the Linuxhotel to give you the keys and informations you need for a successful stay in the Linuxhotel. If you can't do so organize some other responsible person as contact person for the Linuxhotel.
- Make a great productive meeting. Have fun.
- On Sunday, the last day of the meeting, you need to do some clean up of the group room by the participants, like pull back tables and chairs e.g., give back all keys and keep out your stuff from your rooms early.
- Ensure the Linuxhotel has all data to create a bill and send them. The bill needs to get send to
