Notes: 14-7-2019
Open Day:
- Purpose: talks in local language
- Problem: not popular enough
- not a day: Hebrew Language track.
- Talks in Afternoon and Evening
Dorms:
- 200 beds ordered -- are the rooms single bed rooms?
- We handle all orders
- Keep a few spare beds
- Beds are 25$ per night (Right?)
- Make sure we have single-bed rooms
- Family dorms: Will they be available? How much time in advance do we need to order?
- When is the last date for a change?
Hacklabs:
- plenty of class rooms in the 7th floor
- noisy hacklab: room 603
- Library quiet hack lab?
- Do we need a bar? If not: bring your own
- If we have a bar: where can it be?
- A bar is not a deal breaker: the noisy hack lab is the place to socialize
Food:
- There will be vegetarians and vegans.
- We need to cater for gluten-free and for people allergic to nuts and peanuts.
We will know specific details of attendees at April(?) -> [DLange] You will know as soon as you have data in the registration system (wafer). But we can give you previous allergies and distributions of carnivores / veggies / vegans from past conferences. That is usually good enough a planning base for caterers. Don't overdo it with the allergies. It is just very important food is labelled as to what it is / contains.
Day Trip:
- Probably worry about this later.
- There are some good ideas.
Conference Dinner:
- Pick a restaurant?
Logo:
- Tzafrir needs to talk with Valessio.
Transportation:
- What about people who arrive / leave on Saturday?
- Make sure we have information and publish it in advance to atendees.
Debian Birthday:
- Aug-16th (beginning of Debcamp) - have a small event with a cake?
Notes 20-7-2019
Food:
- Breakfast:
- coupons?
- Maybe catering?
- Kosher:
- For all atendees or just those who need it?
- Is it possible to have a non-kosher catering? Ask Tamir and Gadi.
- The only issue is food cooking on Saturday (Shabat): use a different catering for that?
- Talat will look into that
- For all atendees or just those who need it?
Name tags:
- Use similar facility, only with A4?
- Use A5 paper folded into A6 size?
Networking:
- Wi-Fi: Should not be an issue
- Video:
- Uplink: good uplink to the inter-university exchange. From there?
- Rooms have network sockets. Are they connected?
Video Equipment:
- Potentially possible to borrow from other departments
- It would be nice to have help from a local video / audio expert to help with video equipent hiring and such
- We need ca. 6-9 beefy (i7) computers
- Contact Communication department?
- Some screens as well.
- Microphones: verify that they can be operated in Israel
- If not: rent
- Ask for details either tumbleweed or in Video Team meetings
Day Trip:
- Talat and Karina will look for options
Conference Dinner:
- Beit Hastudent (on the Carmet Campus) with better catering?
- Other suggestions were raised, but none was clear.
Cups:
- (Or something similar) - metal cups

- What entity do we use?
- Some Debian-specific? Or Hamakor?
- Ask some commeettee people
- Insurance for:
- Equipment
- Venue
- Ask DLange for more details
Shirts:
- dry-fit?
- Do we want separate color for a volunteer shirt?
Parking:
- Parking in campus requires authorization (car number and such)
- License plates of rented cars
Funding:
- Write Hebrw and English brochure
- Sponsorship levels: any point in being softer with local sponsers
- Fund-raising needs to start early.
- Lior will handle this? Bar:
- (At the dorms)
- Better to support drinking cards
- Better to support snacks as well
- Feed them better beers(?)

- A lockable cupboard
